1. Scope of This Privacy Policy

This Privacy Policy explains how QAPI Pro, LLC (“QAPI Pro,” “we,” or “us”) collects, uses, shares, and protects information obtained through the public QAPI Pro® website and, where applicable, through business inquiries, customer communications, and account administration.

Information entered or managed by customer organizations within the QAPI Pro application is addressed separately in Section 6 and may also be governed by applicable customer agreements, data-processing terms, Business Associate Agreements, or other requirements. This Privacy Policy does not replace those agreements.

2. Information We Collect

QAPI Pro may collect information that you provide directly, such as your name, email address, organization, phone number, and other information submitted through contact forms, demo requests, business inquiries, account administration, or customer communications.

When you use the website, limited technical and usage information may also be collected automatically. Depending on how the website is accessed and configured, this may include information such as IP address, browser or device information, pages visited, referring source, date and time of access, and website interactions.

For authorized application users, QAPI Pro may maintain account and business contact information necessary to provide and administer access to the application.

3. How We Use Information

QAPI Pro may use information to respond to inquiries, provide requested services, administer customer accounts, communicate with users and organizations, and support customer relationships.

We may also use information to operate, maintain, secure, and improve the website and services, understand general website usage, prevent or investigate misuse or security concerns, and comply with applicable legal or regulatory requirements.

QAPI Pro does not use personal information for behavioral or targeted advertising.

4. Cookies and Analytics

QAPI Pro may use cookies and similar technologies to support website functionality and improve the visitor experience.

QAPI Pro uses Google Analytics to understand general website usage and help improve the website. Google Analytics may collect limited technical and usage information in connection with website visits.

Visitors may manage certain cookie preferences through available website controls or browser settings, where applicable.

5. How We Share Information

QAPI Pro may share information with service providers that support website hosting, analytics, communications, customer support, application operations, security, or other business functions, subject to appropriate contractual or data-protection requirements where applicable.

We may disclose information when reasonably necessary to comply with applicable law, legal process, subpoenas, court orders, governmental or regulatory requests, or to protect the rights, security, property, or legitimate interests of QAPI Pro, its customers, users, or others.

Information may also be transferred as part of a merger, acquisition, reorganization, financing, or sale of all or part of the business, subject to applicable law.

6. QAPI Pro Platform and Customer Data

Organizations using QAPI Pro may enter and manage information within the application in connection with their Quality Management activities. As between QAPI Pro and the customer, the customer retains its rights in its Customer Data and is responsible for determining what information is entered into and for ensuring that it has the appropriate authority to collect, use, and provide that information.

QAPI Pro may host, process, transmit, maintain, and create necessary copies of Customer Data as reasonably required to provide, secure, support, back up, and recover the application and its data, in accordance with applicable customer agreements and law.

QAPI Pro is designed to minimize unnecessary protected health information (PHI), and its standard Quality Management functions are designed to operate without requiring PHI about patients or residents. Users should avoid entering unnecessary PHI and follow applicable QAPI Pro data-entry requirements and organizational privacy and security policies.

Where QAPI Pro processes PHI on behalf of an organization, that information will be handled in accordance with applicable law, the customer agreement, and a Business Associate Agreement where required. This Privacy Policy does not replace those agreements.

7. Data Retention and Security

QAPI Pro retains personal and customer information for as long as reasonably necessary to provide and support the services, maintain appropriate business and security records, comply with contractual, legal, or regulatory obligations, and resolve disputes.

QAPI Pro uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No method of electronic transmission, storage, or security can be guaranteed to be completely secure.

When Customer Data is removed from active use or a customer relationship ends, its retention, return, or deletion will be handled in accordance with the applicable customer agreement, Business Associate Agreement where applicable, legal requirements, and established data-retention practices. Limited copies may remain temporarily in protected backup or recovery systems until deleted or overwritten through normal backup processes.

8. Privacy Rights and Choices

Depending on applicable law, individuals may have rights to request access to, correction of, or deletion of certain personal information, or to obtain information about how their personal information is collected, used, or disclosed.

Privacy requests relating to information collected directly by QAPI Pro may be submitted using the contact information provided in this Privacy Policy. QAPI Pro may take reasonable steps to verify a request and will respond in accordance with applicable law and permitted exceptions.

Where personal information is contained in Customer Data managed by a customer organization through the QAPI Pro application, individuals should generally direct privacy requests to that organization. QAPI Pro will support applicable customer obligations as required by law or the governing customer agreement.

Visitors may also manage certain cookie and analytics preferences through available website controls or browser settings, where applicable.

9. Third-Party Services and Children

The QAPI Pro website and services may contain links to or interact with third-party websites, services, or technologies. QAPI Pro is not responsible for the privacy practices, content, or policies of those third parties, and users should review their applicable privacy policies.

The QAPI Pro website and services are intended for healthcare organizations and professional users and are not directed to children.

10. Changes and Contact

QAPI Pro may update this Privacy Policy when reasonably necessary to reflect changes in our services, practices, or applicable requirements. Any revised policy will be posted on the website with an updated effective date.
